Getting the word out about your event

 

You've organized and planned, and now you're ready for the big event. It may be a conference, lecture, seminar, performance or some other activity. How do you let the campus and surrounding communities know it's taking place? Getting the word out is vital, so here are a few tips on how to publicize your event:

Events Calendar
The MSU Events Calendar is a growing collection of departmental and category calendars that form a master calendar of programs, conferences, activities and more. To view the calendar, go to www.montclair.edu/calendar. From the master calendar you can submit a suggested listing by clicking on the "Add Event" button. You can suggest an event be added to one of the individual calendars (which will automatically be included on the master calendar) or just be added to the master calendar. Be as detailed as possible in the description of the event, and be sure to include the time, cost, location, contact information and if the event is open to the general public. Viewers can print the description for future reference.

INSIGHT Online
The "What's Happening" calendar in INSIGHT Online provides a list of events, categorized by type (Dance, Theater, Workshops, Music, etc.), for the semester. The calendar is updated regularly and appears in every issue of INSIGHT Online. Event submission forms, available at www.montclair.edu/pages/publications/pubcalendarform.html, can be submitted from that site or e-mailed to Diana St. Lifer. Items contained in "What's Happening" and the MSU Events Calendar also are used for INSIGHT Online's daily events calendar, which is e-mailed each morning to the campus community.

Press Releases

The Office of Public Information submits press releases to area newspapers about upcoming events and noteworthy accomplishments by faculty, staff or students. Press releases also are posted on Montclair State's Web site at www.montclair.edu/pages/publications/NewsReleases.html. Main Web Page "News"
The right column on the main Montclair State Web page is a listing of news announcements. A maximum of four headlines appear on the main page at a time. The first word of the headline is a link to the "News" page where the complete announcement is posted. News items serve as an announcement of University events and accomplishments providing insight into the University's mission, goals and culture. Guidelines on how to submit a News item for posting are available on the News page and at www.montclair.edu/newsguidelines.html.

Conferences
On the "Calendars" page, off the main MSU Web page is a new list of upcoming conferences and seminars that link to the event Web site. The event need not be held on campus, but must be sponsored by MSU for listing. To submit a listing go to www.montclair.edu/conferencesubmit.

LED Sign on Valley Road
The LED sign located at the corner of Normal Avenue and Valley Road features upcoming events. The length of the message is concise, but the reach is great, catching the eye of passersby 24 hours a day. Guidelines and a form to submit suggested items for the LED sign are available at www.montclair.edu/ledform.
