Study Abroad Application Process

You are about to embark upon an exciting journey of exploration – study abroad.  This section reviews the various steps Montclair State University students must take to begin the process of studying abroad.  The application process is a multi-phase one and differs slightly for faculty led programs however much of the process is similar.

Eligibility Requirements

Students must meet Montclair State Universitys eligibility requirements before a study abroad advisor is able to grant approval to continue the application process.  The Global Education Center’s minimum qualifications are:

  • students must possess a cumulative GPA of atleast 2.5 at the time of application.
  • Student must not be under any disciplinary action at Montclair State University.
  • Student must have completed at least one semester at Montclair State before applying.
We review all your application material and once approved forward them to the appropriate host university or program provider for final acceptance.  Our program partners may have additional or higher eligibility requirements which will impact the application as well.

Attend a Study Abroad Information Session

We hold weekly study abroad information sessions are held every Wednesday at 2:30pm, while classes are in session for students interested in studying abroad.  These sessions provide a great foundation to understanding the offerings, required forms which need to be completed and important academic and financial issues to consider.  An information session is a great place to bring your initial questions and have them answered by Global Education Center Study Abroad staff.  We enjoy meeting you and helping you find the right program.

Make an Appointment with a Study Abroad Advisor

After either attending an information session or reviewing your program choices, it’s time to meet with an advisor for an individual study abroad appointment.  This meeting allows the student and advisor to gain further insight into the program possibilities, academic goals, financial resources and other issues and concerns of students pursuing a study abroad experience.  In this meeting we generally provide the application packet containing forms for phase one of the process and continue guiding you on next steps to take.

An informal meeting with your academic or major advisor is suggested to review your degree requirements and determine what types of courses you will need to take during your term abroad.  Please be sure to consult with your major department advisers and/or academic advisers about your plans and discuss coursework and terms that will work for you.

When you arrive for an individual study abroad advising appointment, please complete as much of the Study Abroad Applicant Information Form as possible and bring to the advising appointment.  This will allow us to gather important information about you and begin tracking your application status.

During the advising appointment, we will also provide you with a checklist and the application packet to help you keep track of the various steps you need to complete to receive approval to participate in study abroad.  There are two checklists - one for short-term faculty led programs and the other for semester, summer and year-long programs.

Talk with a Study Abroad Peer Advisor

We also recommend that you talk with our Study Abroad Peer Advisors (SAPA's) to learn about their experiences and advice on how to prepare for your own educational experiences abroad. They can also discuss topics such as traveling, living abroad, and what it is like to be immersed in a different culture. To contact a peer advisor, click here.

Students may also have to complete an application form for the specific program that they are applying through such as out partners ISA, CEA or Semester at Sea. These are just a few of our program partners and more details are found under our Countries and Programs Section.

Personal Statement In no more than 2 pages,  tell us your motivation to study abroad. What do you hope to learn  from your study abroad experience?  How do you think studying abroad will help you in your academic and future endeavors? 

Not necessary for MSU Students in Faculty-Led Programs
Two References Please use this recommendation form to acqire recommendations from two
Montclair State professors.  If you are unable to acquire recommendations from two Montclair professors, one can be substituted by a supervisor at work or any other objective persion familiar with your character and able to judge your ability to participate on a study abroad program.

One reference needed for MSU Students in Faculty-Led Programs

Administrative Fee

All MSU students are required to pay the $350 (non-refundable) administrative fee, for Spring 2012 only. This is an additional fee and does not apply toward the cost of your program.  Your application will not be complete without this fee. Also there is a $400 free for Summer 2012 onward.
Check or money order is payable to "Montclair State University" and submitted with your application to Global Ed.

For Faculty-Led Programs, this fee is included in the Program Cost

Transcript

Use this form to have your academic transcript sent to the Global Education Center for inclusion in your records.  Go to the Registrar's office in College Hall.  Have your official MSU transcript sent to:  Study Abroad Department, Global Education Center, 22 Normal Avenue. Office of the Registrar Transcrips page.

Not necessary for MSU Students in Faculty-Led Programs

  
Completing the steps above allows an advisor to complete Phase I of the application process.  Once an advisor has completed the review of your application materials you will receive a notice from the Global Education Center regarding your approval to participate in a study abroad program along with directions to complete Step II of the process.

Checklist for Phase II

Request to work at Another Institution

This form is necessary if you will be taking classes for your Major, Minor or Gen. Ed.  You do NOT need this form for classes that will count as free electives.  Indicate the courses you will be taking at the host institution equivalent to those you would be taking at  MSU.  The form must be completed and returned to Global Education before you leave. Please note that every department needs their own form.  You can put more then one class on a form if it is in the same department.

Not necessary for MSU Students in Faculty-Led Programs

Study Abroad Financial Aid form This form is completed with the assistance fo the study abroad adviser.
If you are using any form of financial aid (loans, grants, scholarships
etc) this form must be completed and signed by GEC staff.  The original
will go to the Financial Aid office and copies kept in the students' file.
Housing Cancellation Request If you currently reside in on-campus housing and would like to cancel your assignment while abroad, please e-mail MSU Residential Education and Services with a housing cancellation request: resed@mail.montclair.edu.
Study Abroad FERPA form Details to which parties the student grants MSU permission to share
his/her academic, medical and disciplinary records.
Study Abroad Health Insurance Attestation Form This form is used to certify if you have adequate health insurance while studying abroad.

Predeparture Meeting
Attendance is mandatory for all students participating in Summer + Fall 2010 study abroad programs. The predeparture orientation will be held Wednesday May 5th, 2010, Student Center room 411. 10am-12:30pm.

For MSU Faculty-Led Programs, each program has a separate pre-departure meeting.
