The meeting was called to order at 12: 45 p.m.

Minutes of the November 16, 2005 Meeting

Smith motioned to approve the minutes; Brown seconded.   The minutes were approved as submitted.  

Reading

The Committee discussed Martin Luther King's "Letter from Birmingham Jail," available at http://www.almaz.com/nobel/peace/MLK-jail.html

Committee Reports

Recruitment and Retention Committee : Vega reported on the Committee's time line for the upcoming year to identify actionable items from PCAA constituent groups.   The timeline is attached.

Mentoring Committee : Coleman-Carter reported that "Thank Your Mentor" Day went well.   Meneghin will supply the statistics on e-cards used to thank mentors.   Coleman-Carter noted that not all acknowledgements of mentors were through e-cards.  

The Committee is reviewing the questionnaire on mentoring and will share it with the Executive Board for their review.

Education Committee : Harris passed out the Affirmative Action Day flyer.   The Committee is focusing on getting the word out about Affirmative Action Day, especially to students.   Invitations to participate in the Fair have been given to all student leaders.    The SGA is very supportive of the activities planned for the Day.   Harris is also encouraging student organizations to talk about affirmative action when they endorse the Day's activities.

The Committee has a subgroup that will soon be meeting with representatives of the Graduate Studies Office to look at the impact of the new guidelines for graduate assistants on the diversity of graduate assistants.   They will also be talking to the Graduate Studies Office representatives on the diversity of students enrolled in graduate studies.

Harris thanked the members of the Committee for working so well together.

Affirmative Action Day

Affirmative Action Day will be on February 15.   The keynote speaker will be Ellis Cose (who has a web site at: www.elliscose.com ).   The theme of the day's programs is: "Affirmative Action" From the Classroom to the Boardroom - Building on National Diversity."   The PCAA discussed details of the day's events.

Accessibility and Safety

Meneghin reminded members to send an email to her about any issues or concerns with accessibility and safety issues on campus.   She will collate the information and send to Hain.

Affirmative Action/Equal Opportunity Statistics Report

The PCAA had asked B. Milton to share reports on the diversity of the University's recruitment and retention of faculty and staff of color.   She passed out the following reports:

•  Profile By Gender and Ethnicity of Full-Time Employees for All Job Classifications ( Data as of November 1, 2005 )

•  Profile By Gender and Ethnicity of Full-Time Employees for All Job Classifications ( Data as of November 1, 2000 )

•  Annual Review of Employment Trends and Human Resources Initiatives

•  Ethnic Matrix of Montclair State University Employees

Milton led a discussion on the reports.   The PCAA will continue this discussion at its March meeting.

Timetable for Discussion between the PCAA Recruitment and Retention Committee and the individual caucuses:

May 25 th -Advance-Organize PCAA Recruitment/Retention committee;   Select chair

September 21 st (First PCAA meeting)-Meet with subcommittee members and formalize the goals of the new year.   Read response from Dr. Cole concerning actionable items requested by the individual caucuses.   Ensure that response has been distributed to the individual caucuses.  

October (Second PCAA meeting)-Ensure that every caucus has a member of the PCAA RR committee as a liaison.   Request that members meet with each caucus prior to the next PCAA meeting.  

October (Third PCAA meeting)-Summarize caucus response to president's summary from the previous year (i.e., was the actionable item implemented; if not is the item still an issue).

February (Sixth PCAA meeting)-Summary of new caucus actionable item (if new) and any items that may be handled by the PCAA directly. These items should be issues related to recruitment and retention.   Additional input to be requested from the rest of the PCAA committee.  

March (Seventh PCAA meeting)-Final clarification of any actionable items that will be sent to Dr. Cole.   Report on actionable items that could be handled by the PCAA directly.  

April (Eight PCAA meeting)-Final report of the PCAA Recruitment and Retention committee.   Report presented to the full committee for review.
