TITLE/RANK Assistant Director of Operations (Uxx -)  

Under the supervision of RYTE Institute Directors, the Assistant Director of Operations for RYTE Institute at Montclair State University provides managerial leadership for an active research institute. The Assistant Director of Operations will oversee all operational aspects of the Institute, including project management; business and strategic planning; personnel actions, including recruiting, hiring, training, managing, and evaluating staff; maintenance and troubleshooting computers and technology; contributing to grant proposals and other fund-raising initiatives; dissemination of research findings; and marketing and promotion of the Institute and its reports and other products. The Assistant Director will also work with the Institute Directors and other research project directors to organize timelines, coordinate research team meetings, manage the logistics of report production and dissemination, and liaise with external constituents regarding individual research projects.

  • General Institute Management:
    • Manage all operational work of the RYTE Institute.
    • Offer leadership and support to staff including student assistants, full- and part-time staff
    • Responsible for all human resources activities within the institute, including recruiting, hiring, and on-boarding staff.
    • Develop and oversee professional development training activities.
    • Set goals and help write performance reviews for employees.
    • Maintain an excellent working environment within the institute.
    • Work to build consensus around key decisions and to effectively involve members of the organization in these decisions, such that staff and students remain committed to the vision of the institute.
    • This position involves detailed work, frequent deadlines, multiple concurrent tasks, reading, frequent interruptions, frequent contact with people, and periods of concentrated attention.
  • Research Project Management Support:
    • Create, in partnership with others in the institute, strategic plans for research projects to ensure that goals are met.
    • Oversee the administrative aspects of research projects.
    • Direct all outside consultants engaged for project work.
    • Manage institute marketing including website/social media accounts, liaising with the MSU Marketing Department and external media organizations.
    • Develop and maintain institute protocols such as the Travel Policy, Computer Policy, and Etiquette Policy.
    • Train and supervise undergraduate and graduate assistants in protocols.
  • Grant Writing:
    • Assist with preparation of grant proposals and reports to funders.
  • Communication:
    • Create and sustain partnerships with internal and external constituents and stakeholders, including MSU administrators, funding agencies, potential donors, national and international scholars, academic institutions, and local, state, national, and international policymakers.
    • Work productively and efficiently with various departments at the University including negotiating with the Deans regarding space or finances, working with Human Resources on hiring and other staffing issues, and working effectively with the offices of grants management including Office of Research and Sponsored Programs, Human Resources, Payroll, the Institutional Review Board and Grants Accounting.
    • Maintain continual communication with the co-Directors through email, phone, and in-person meetings.
  • Internal Reporting and Records:
    • Produce written materials in support of the institute including annual reports, administrative or grant-related internal and external correspondence, and website/social media content.
    • Oversee the organization and planning of all institute events.
  • Other:
    • Other related tasks and responsibilities as needed.

  • Required Qualifications: 
    • A Bachelor’s degree and 5-10 years of experience
    • Proficiency withExcel, PowerPoint, Google Docs, and Word
    • Excellent problem-solving skills and a proactive orientation to organizational advancement
    • Strong human resources experience
    • Ability to work well in collaboration with others
    • Excellent written and oral communication skills
    • Open to opposing viewpoints and ability to help facilitate problem resolutions
    • Ability to give and receive constructive feedback
    • Ability to work independently
    • Ability to prioritize tasks
    • Flexibility, both cognitively and behaviorally, is needed to respond to unplanned opportunities or demands from constituents or to develop activities to capitalize on unanticipated emerging opportunities
    • Ability to think creatively and problem solve
  • Preferred Qualifications
    • A Master’s degree in Public Affairs or related field
    • Commitment and passion for character development research/evaluation
    • Experience as an office manager, human resources professional
    • Familiarity with both federal and foundation grant requirements
