{"id":2183,"date":"2018-12-23T17:14:48","date_gmt":"2018-12-23T17:14:48","guid":{"rendered":"http:\/\/www.montclair.edu\/human-resources\/?page_id=2183"},"modified":"2026-05-11T16:46:13","modified_gmt":"2026-05-11T20:46:13","slug":"hiring-a-faculty-member","status":"publish","type":"page","link":"https:\/\/www.montclair.edu\/human-resources\/talent\/hiring-a-faculty-member\/","title":{"rendered":"Hiring a Faculty Member"},"content":{"rendered":"<p><span style=\"font-weight: 400\">Human Resources has prepared the following guidelines to assist hiring managers and search committees with locating information regarding the recruitment and hiring process of faculty members from position inception\/approval through onboarding.<\/span><\/p>\n<p><b>All Workday Recruiting job aids<\/b><span style=\"font-weight: 400\"> that are referenced in the below guidelines can be accessed<\/span><b> by logging into <\/b><a href=\"https:\/\/www.myworkday.com\/montclair\/\"><b>Workday<\/b><\/a><span style=\"font-weight: 400\">, selecting the Menu on the left side of your homepage, navigating to the Recruiting Dashboard and then clicking on the Job Aids tab.\u00a0<\/span><\/p>\n<div class=\"prpl-step-group\"><div class=\"prpl-step\"><div class=\"prpl-step-number\"><span class=\"label-part\">Step<\/span> <span class=\"number-part\">1<\/span><\/div>\n<div class=\"prpl-step-content\"><div class=\"prpl-drawer\"><div class=\"prpl-drawer-header\">Position Authorization<\/div><div class=\"prpl-drawer-content\">\n<h3>A. New Position or Existing Position<\/h3>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Prior to initiating a request for a new position or existing position via the <\/span><b>\u201cCreate Job Requisition\u201d<\/b><span style=\"font-weight: 400\"> process in Workday, the Department Chair or School Director must request and receive approval for a new faculty line from the Dean and the Office of the Provost.<\/span><\/li>\n<\/ol>\n<p><b>NOTE:<\/b><span style=\"font-weight: 400\"> If the hiring manager wants to change the position or replace it with a different job profile, position level, range, or funding source, the hiring manager will need to initiate the <\/span><b>Edit Position Restrictions<\/b><span style=\"font-weight: 400\"> process to update the position before initiating the <\/span><b>Create Job Requisition<\/b><span style=\"font-weight: 400\"> process.<\/span><\/p>\n<ol start=\"2\">\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">The Department Chair, School Director or Administrative Assistant will then initiate the <\/span><b>\u201cCreate Job Requisition\u201d<\/b><span style=\"font-weight: 400\"> process in Workday and select <\/span><b>New Position<\/b><span style=\"font-weight: 400\"> or <\/span><b>Existing Position<\/b><span style=\"font-weight: 400\">. The request will flow through the approval process. For assistance completing the steps, please refer to the respective job aid, which is available in Workday&gt; Menu (top left corner) &gt; Recruiting Dashboard (left sidebar) &gt; <\/span><b>Job Aids<\/b><span style=\"font-weight: 400\"> (right sidebar), and where you will access: <\/span><b>Create Job Requisition and Position (New Faculty Positions)<\/b><span style=\"font-weight: 400\">.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Once the request has completed the full approval process, the job requisition (and new position, if applicable) will be created, a Recruiter will be assigned, and they will post the position.<\/span><\/li>\n<\/ol>\n<p><b>NOTE:<\/b><span style=\"font-weight: 400\"> The following documents will need to be uploaded during this process:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Position Announcement (Job Description)<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Compensation Sheet (Budget Sheet)<\/span><\/li>\n<li style=\"font-weight: 400\"><a href=\"https:\/\/www.montclair.edu\/human-resources\/wp-content\/uploads\/sites\/181\/2025\/07\/Recruitment-Plan-Template-WD-Recruiting_7-10-25.pdf\"><b>Recruitment Plan<\/b><\/a><\/li>\n<\/ul>\n<\/div><\/div><\/div><\/div><div class=\"prpl-step\"><div class=\"prpl-step-number\"><span class=\"label-part\">Step<\/span> <span class=\"number-part\">2<\/span><\/div>\n<div class=\"prpl-step-content\"><div class=\"prpl-drawer\"><div class=\"prpl-drawer-header\">Recruitment<\/div><div class=\"prpl-drawer-content\">\n<h3>A. Recruitment Plan<\/h3>\n<p><span style=\"font-weight: 400\">Hiring Managers should complete the following <\/span><a href=\"https:\/\/www.montclair.edu\/human-resources\/wp-content\/uploads\/sites\/181\/2025\/07\/Recruitment-Plan-Template-WD-Recruiting_7-10-25.pdf\"><b>Recruitment Plan<\/b><\/a><span style=\"font-weight: 400\"> in order to provide information regarding advertising venues and Search Committee members.<\/span><\/p>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Human Resources will automatically post all positions on <\/span><a href=\"http:\/\/higheredjobs.com\"><b>HigherEdJobs.com<\/b><\/a><span style=\"font-weight: 400\">.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Additional advertising beyond HigherEdJobs is arranged by the Provost\u2019s Office (for example, Chronicle of Higher Education, Diversity in Higher Education, and Hispanic Outlook on Education). The Department\/School is encouraged to advertise in sources separately from the ones coordinated by HR and the Provost\u2019s Office. When selecting advertising venues, think creatively and strategically \u2013 the goal is to cast a wide net to attract a diverse and qualified applicant pool.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">All advertisements should direct applicants to the Workday job posting link.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Search Committees shall be composed of individuals reflecting the University\u2019s diverse population. Refer to the <\/span><a href=\"https:\/\/www.montclair.edu\/policies\/all-policies\/search-committees\/\"><b>Montclair State University Policy on Search Committees<\/b><\/a><span style=\"font-weight: 400\"> for guidance.<\/span><\/li>\n<\/ol>\n<h3>B. Application Process<\/h3>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">External applicants shall apply to open positions via the <\/span><a href=\"https:\/\/montclair.wd1.myworkdayjobs.com\/JobOpportunities\"><b>Workday jobs portal<\/b><\/a><span style=\"font-weight: 400\">. Internal applicants shall apply to open positions by logging into Workday and searching \u201cFind Jobs.\u201d For further details, refer to the <\/span><b>Current Employees &#8211; Apply for a Job Internally<\/b><span style=\"font-weight: 400\"> job aid. <\/span><b>NOTE:<\/b><span style=\"font-weight: 400\"> Temporary\/Adjunct Employees must apply as an Internal applicant.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Workday will prompt <\/span><b>all<\/b><span style=\"font-weight: 400\"> applicants to complete a Job Application, including providing voluntary self-identification information. Human Resources confidentially maintains all self-identification data to aid with various reporting requirements. This information will not be shared with the hiring unit and will not be used when assessing a candidate\u2019s application.<\/span><\/li>\n<\/ol>\n<h3>C. Search Committees<\/h3>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Refer to the <\/span><a href=\"https:\/\/www.montclair.edu\/human-resources\/talent\/search-committees\/\"><b>Montclair State University Policy on Search Committees<\/b><\/a><span style=\"font-weight: 400\"> for detailed guidance.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">The Search Committee Chair and Search Committee Members, will review applicants in Workday and determine a process for selecting candidates for interviews and conducting those interviews. For assistance with viewing and\/or moving applicants in Workday, please refer to the <\/span><b>Search and Hire Process for Search Committee Chairs\/Assistants<\/b><span style=\"font-weight: 400\"> and the <\/span><b>Search and Hire Process for Search Committee Members<\/b><span style=\"font-weight: 400\">, job aids available in Workday&gt; Menu (top left corner) &gt; Recruiting Dashboard (left sidebar) &gt; <\/span><b>Job Aids<\/b><span style=\"font-weight: 400\"> (right sidebar).<\/span><\/li>\n<\/ol>\n<\/div><\/div><\/div><\/div><div class=\"prpl-step\"><div class=\"prpl-step-number\"><span class=\"label-part\">Step<\/span> <span class=\"number-part\">3<\/span><\/div>\n<div class=\"prpl-step-content\"><div class=\"prpl-drawer\"><div class=\"prpl-drawer-header\">Moving Candidates Through the Search Process<\/div><div class=\"prpl-drawer-content\">\n<p><span style=\"font-weight: 400\">Once the finalist has been identified and prior to informing a finalist they are being recommended for the position:<\/span><\/p>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">The hiring manager submits their recommendation memo, including a salary recommendation, to the Provost.<\/span><\/li>\n<\/ol>\n<p><b>NOTE:<\/b><span style=\"font-weight: 400\"> It is critical that the search process in the job requisition is kept up to date (e.g., candidates interviewed, candidates declined appropriately, etc.) in \u201creal time.\u201d Failure to maintain current information will delay the review and approval process.<\/span><\/p>\n<ol start=\"2\">\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Once the finalist is approved by the Provost&#8217;s office, the Dean provides a verbal offer; if the finalist accepts, the Dean issues an official preliminary letter and requests any outstanding credentials.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">After the finalist signs the Dean&#8217;s letter, it is submitted to the Provost&#8217;s office along with the transcripts, letters of recommendation, and then the Provost&#8217;s office will initiate the final offer process in Workday:<\/span>\n<ol type=\"a\">\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">The Academic Affairs office will provide the Recruiter with details about the official offer letter that will be issued in Workday.<\/span><\/li>\n<li style=\"font-weight: 400\">The Recruiter will then move the finalist to the Background Check stage in Workday and initiate the background check process.<\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Hiring divisions\/units are not authorized to extend an offer or conditional offers to any candidate. Faculty offers are extended by the Dean after consulting with the Provost\/VPAA.<\/span><\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<p><b>*NOTE:<\/b><span style=\"font-weight: 400\"> Faculty offers are extended by the Dean after consulting with the Provost\/VPAA.<\/span><\/p>\n<ol start=\"4\">\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">The hiring manager or the search committee chair will contact the finalist to complete the reference-checking process.<\/span>\n<ol type=\"a\">\n<li style=\"font-weight: 400\"><b>External Finalist:<\/b><b>Required:<\/b>\n<ol type=\"a\">\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Minimum of three (3) letters of recommendation<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">At least one of the three letters of recommendation must be from a former manager (someone who supervised the finalist); the other two letters of recommendation may be from a colleague, cross-functional partner, client, or previous manager.<\/span><\/li>\n<\/ol>\n<p><b>Preferred:<\/b><\/p>\n<ol type=\"a\">\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">One of the letters of recommendation should be from someone at the current employer (even if they no longer work at the organization).<\/span><\/li>\n<\/ol>\n<\/li>\n<li style=\"font-weight: 400\"><b>Internal Finalist:<\/b><b>Required:<\/b>\n<ol type=\"a\">\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">One (1) letter of recommendation from the Current Supervisor.<\/span><\/li>\n<\/ol>\n<\/li>\n<li style=\"font-weight: 400\"><b>Internal Temporary Employee Finalist (Adjunct \/ Temporary Employees):<\/b><b>Required:<\/b>\n<ol type=\"a\">\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">A minimum of three (3) letters of recommendation<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">One of the three letters of recommendation from the Current Supervisor.<\/span><\/li>\n<\/ol>\n<\/li>\n<li style=\"font-weight: 400\"><b>Letters of Recommendation:<\/b>\n<ol type=\"i\">\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Letters of Recommendation should include a signature, contact details, including title, email, and phone number.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Email recommendations are acceptable and should include an email signature with contact details, including title and phone number.<\/span><\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<p><b>NOTE:<\/b><span style=\"font-weight: 400\"> In some instances, the letters of recommendation may have been uploaded during the candidate&#8217;s application in Workday (if that was part of the required application materials).<\/span><\/p>\n<\/div><\/div><\/div><\/div><div class=\"prpl-step\"><div class=\"prpl-step-number\"><span class=\"label-part\">Step<\/span> <span class=\"number-part\">4<\/span><\/div>\n<div class=\"prpl-step-content\"><div class=\"prpl-drawer\"><div class=\"prpl-drawer-header\">Emergency or Direct Appointments<\/div><div class=\"prpl-drawer-content\">\n<h3>A. Emergency Appointments<\/h3>\n<p><span style=\"font-weight: 400\">In limited circumstances, there may be occasions when emergency appointments must be made. In such cases, the division Vice President must submit a written request, including a justification for the emergency appointment, to the Chief Human Resources Officer, along with a copy of the resume and the job description. Emergency appointments are considered temporary and, unless otherwise stipulated, ordinarily shall not exceed a one-year period.<\/span><\/p>\n<h3>B. Direct Appointments<\/h3>\n<p><span style=\"font-weight: 400\">In special circumstances, there may be occasions when a direct appointment must be made. In such cases, the hiring manager must confirm the position exists in Workday. The hiring manager will then proceed with the following steps:<\/span><\/p>\n<ol>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Initiate <\/span><b>Create a Job Requisition<\/b><span style=\"font-weight: 400\"> with \u201cDirect Hire\u201d as the reason code.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">In the \u201cAttachments\u201d section, upload:<\/span>\n<ol type=\"a\">\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Candidate\u2019s resume<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Justification with a detailed explanation of the rationale for bypassing the standard search process (including reasons for why conducting a standard search is either impractical under the circumstances or otherwise in the best interest of the University)<\/span><\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<p><b>Note:<\/b><span style=\"font-weight: 400\"> Candidates who are appointed via emergency or direct appointment <\/span><b>must<\/b><span style=\"font-weight: 400\"> meet the position\u2019s qualifications.<\/span><\/p>\n<\/div><\/div><\/div><\/div><div class=\"prpl-step\"><div class=\"prpl-step-number\"><span class=\"label-part\">Step<\/span> <span class=\"number-part\">5<\/span><\/div>\n<div class=\"prpl-step-content\"><div class=\"prpl-drawer\"><div class=\"prpl-drawer-header\">Onboarding<\/div><div class=\"prpl-drawer-content\"><br \/>\nFor information about onboarding of new employees for hiring managers, visit the <a href=\"http:\/\/www.montclair.edu\/human-resources\/talent\/onboarding-employees\/\">Onboarding Employees<\/a> page.\n<\/div><\/div><\/div><\/div><\/div>\n<p>* Hiring divisions\/units <strong>are not authorized<\/strong> to extend an offer or conditional offer to any candidate.
