{"id":7911,"date":"2024-03-25T16:09:34","date_gmt":"2024-03-25T20:09:34","guid":{"rendered":"https:\/\/www.montclair.edu\/human-resources\/?page_id=7911"},"modified":"2026-03-25T09:39:04","modified_gmt":"2026-03-25T13:39:04","slug":"supervisor-responsibilities","status":"publish","type":"page","link":"https:\/\/www.montclair.edu\/human-resources\/supervisor-responsibilities\/","title":{"rendered":"Supervisor Responsibilities"},"content":{"rendered":"<p><strong>Referring employees to Human Resources<\/strong><\/p>\n<p><span style=\"font-weight: 400\">An employee should be referred to HR|Benefits if they:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">have been out of work for 5 or more consecutive days<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">exhibit patterned absence<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">disclose any medical related information<\/span><\/li>\n<\/ul>\n<p><strong>Medical Documentation<\/strong><\/p>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">All medical documentation must be submitted to HR|Benefits. If a supervisor is requesting a medical note to support an absence, the documentation must be provided to HR|Benefits and the team will update the Supervisor. Medical documentation can be submitted via email to <\/span><a href=\"mailto:hr-benefits@montclair.edu\"><span style=\"font-weight: 400\"><strong>hr-benefits@montclair.edu<\/strong><\/span><\/a><span style=\"font-weight: 400\"> or via fax to 973-655-7398.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Employees who have requested a medical leave of absence will be required to supply medical documentation from his\/her treating physician. The medical certification must be returned within 15 days from the date received. Extended time may be granted if needed or if the certification is incomplete.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Employees on a medical leave for themselves will be to provide HR|Benefits with a medical clearance prior to their return to work. Once HR|Benefits has reviewed the medical clearance, HR will notify the supervisor of the exact return to work date.<\/span><\/li>\n<\/ul>\n<p><strong>Timesheets<\/strong><\/p>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">It is the responsibility of the supervisor to ensure employees timesheets are completed to reflect absences. An employee on a consecutive medical leave of absence has the option to utilize available sick\/vacation. Employees on an intermittent leave will utilize time as needed. Supervisor should <\/span><strong><a href=\"https:\/\/www.montclair.edu\/human-resources\/wp-content\/uploads\/sites\/181\/2021\/03\/Enter-Time-for-a-Worker.pdf\">Enter Time for a Worke<\/a><\/strong><span style=\"font-weight: 400\"><strong>r<\/strong>, if he\/she is unable to do so.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">All timesheets must be done in time for the upcoming payroll. Information regarding approval deadlines and <\/span><strong><a href=\"https:\/\/www.montclair.edu\/human-resources\/payroll-services\/payroll-schedules\/\">payroll schedules<\/a><\/strong><span style=\"font-weight: 400\"> can be located on the <\/span><a href=\"https:\/\/www.montclair.edu\/human-resources\/payroll-services\/frequently-asked-questions\/\"><span style=\"font-weight: 400\"><strong>Payroll FAQ webpage<\/strong>.<\/span><\/a><\/li>\n<\/ul>\n<p><strong>NOTE:<\/strong><\/p>\n<p><span style=\"font-weight: 400\">Employees on approved FMLA\/NJFLA have the right to be returned to the same job or to an equivalent job that is virtually identical to their original job in terms of pay, benefits, employment terms (such as shift and work location). Any time off taken under FMLA\/NJFLA cannot be used against the employee.<\/span><\/p>\n<p><span style=\"font-weight: 400\">During an employee\u2019s absence, supervisors are permitted to <a href=\"https:\/\/www.montclair.edu\/human-resources\/wp-content\/uploads\/sites\/181\/2022\/06\/How-to-Hire-a-Temporary-Employee_June-2022.pdf\">Hire a Temporary Employee <\/a><\/span><span style=\"font-weight: 400\">if needed to meet the department\u2019s operational needs.
