{"id":15244,"date":"2020-03-31T16:46:27","date_gmt":"2020-03-31T20:46:27","guid":{"rendered":"http:\/\/www.montclair.edu\/information-technology\/?page_id=15244"},"modified":"2023-08-02T14:53:23","modified_gmt":"2023-08-02T18:53:23","slug":"using-technology-off-campus-faq-for-faculty","status":"publish","type":"page","link":"https:\/\/www.montclair.edu\/information-technology\/using-technology-off-campus-faq-for-faculty\/","title":{"rendered":"Using Technology Off Campus &#8211; Faculty"},"content":{"rendered":"<h2>Where to Call for Support?<\/h2>\n<p>The University and its IT services teams are available to support students, faculty and staff.<br \/>\nFaculty\/Staff in the Feliciano School of Business (SBUS), College of Education and Human Services (CEHS) and the College of Science and Mathematics (CSAM) should contact their<a href=\"https:\/\/www.montclair.edu\/information-technology\/it-service-desk\/academic-unit-support\/\"> local academic technology teams<\/a> during their scheduled business hours and may contact the IT Service Desk, outside of normally scheduled business hours. All other faculty\/staff (in the College of the Arts (CART), College of Humanities and Social Sciences (CHSS) and the School of Nursing) and all non-faculty across all Divisions can receive support through the IT Service Desk by calling 973-655-7971, by emailing itservicedesk@montclair.edu, or through our Online<a href=\"https:\/\/msuchat.montclair.edu\/\"> Chat<\/a>.<\/p>\n<h2>If I Do Not Have Workstation at Home<\/h2>\n<p>If you do not have access to a University laptop or personal workstation\/device and must access applications or shared drives remotely, contact the University IT Service Desk. As the University has a limited number of spare laptops available, Dean\/VP approval will be required.\u00a0 Email the itservicedesk@montclair.edu with your request, including your Dean\/VP\u2019s approval.<\/p>\n<h2>No Internet Access at Home<\/h2>\n<p>If you do not have internet access, we advise that you contact your cable and cellular telephone service providers to see if there are any free or reduced pricing internet access options being made available.<br \/>\nMany internet service providers (ISP) and cell phone companies are offering Free or Low-Cost internet for K-12, Colleges and Universities that are affected by closures due to the Coronavirus. Please contact your current phone carrier or some of the local companies to see if you are eligible for some of the plans.<br \/>\nWe have researched some options and listed them on the<a href=\"https:\/\/www.montclair.edu\/information-technology\/internet-access-and-hotspot-home\/\"> Internet Access and Hotspot<\/a> page.<br \/>\nIt is also possible to enable \u201chot spots\u201d on mobile phones (in effect setting up a local wifi network that rides on top of cell data \u2013 so not preferred because it is slower and more expensive than \u201creal\u201d wifi connections).\u00a0 If you do not have better options to obtain wifi access, you can call your carrier to enable \u201chot spots.\u201d<\/p>\n<h2>Hosting\/Participating in Audio\/Video Conferences<\/h2>\n<p>You can use<a href=\"https:\/\/www.montclair.edu\/information-technology\/video-conferencing-at-msu\/\"> Zoom<\/a> to conduct audio and video conferences over the Internet, using just a computer, without using a cell phone voice or data plan. All Faculty, Staff and Students have access to Zoom for an unlimited time. You will be able to<a href=\"https:\/\/montclair.zoom.us\/\"> access Zoom<\/a> and login with your Montclair Google credentials (lastnamef@montclair.edu, password).<\/p>\n<h3>Enable Zoom Passwords<\/h3>\n<p>Use a password to keep your Zoom meetings private. Learn how to use your<a href=\"https:\/\/support.zoom.us\/hc\/en-us\/articles\/360033559832-Meeting-and-Webinar-Passwords-#h_61124f08-03e6-4dc5-b06a-a8fe08a72716\"> Zoom password<\/a> to manage meetings.<\/p>\n<h3>Enable Zoom Waiting Room<\/h3>\n<p>Attendees cannot join a meeting until a host admits them individually from the waiting room. If the Waiting room is enabled, the option for attendees to join the meeting before the host arrives is automatically disabled for all meetings.<\/p>\n<ol>\n<li>Sign in to<a href=\"http:\/\/montclair.zoom.us\"> Zoom<\/a> and access the Settings tab.<\/li>\n<li>Click on the In Meeting (Advanced) option.<\/li>\n<li>Search or scroll to find the Waiting Room option.<\/li>\n<li>Toggle the button next to the Waiting Room to enable this feature.<\/li>\n<\/ol>\n<h3>Generic Accounts and Zoom<\/h3>\n<p>For security purposes, generic accounts should not be used to log into Zoom.\u00a0 All Zoom accounts must be claimed by a current Faculty, Staff, and or student.<\/p>\n<p>You can use zoom in Canvas as well by posting the zoom link in your Canvas course. Faculty are also able and encouraged to use Canvas Conference which is more seamlessly integrated into Canvas. If your computer does not have a camera you can utilize the camera on your smartphone in order to be visible when using Canvas Conferences or Zoom.<\/p>\n<h2>Support for Teaching<\/h2>\n<p>Instructional Technology &amp; Design Services (ITDS) provides faculty support for teaching and learning. Some resources are highlighted below. Visit the <a href=\"https:\/\/www.montclair.edu\/faculty-advancement\">OFE website<\/a> for more information.<\/p>\n<h2>Adobe Creative Cloud<\/h2>\n<p>The University has received an exception through Adobe to allow us to extend Adobe Creative Cloud to our students through May 31, 2020.\u00a0 For students to gain access, please have them go to<a href=\"https:\/\/creativecloud.adobe.com\"> https:\/\/creativecloud.adobe.com<\/a> and login.\u00a0 Please review full directions before logging in. Full directions can be found under the<a href=\"https:\/\/www.montclair.edu\/information-technology\/student-related-apps\"> Teaching and Learning Technologies<\/a> tab on the IT website.<\/p>\n<h2>Accessing Voicemail from Off-Campus<\/h2>\n<p>You can access your voicemail remotely by dialing 973-655-5323 and following the prompts.<br \/>\nYou can also email itservicedesk@montclair.edu with a request to forward your voicemail to your email. Include your name, NetID, office extension, and Montclair State email address. We will assist.<\/p>\n<h2>Accessing Shared Drives Remotely<\/h2>\n<p>If you need to access your \u201cO\u201d or \u201cN\u201d Drive from off-campus, you will need to log into<a href=\"https:\/\/www.montclair.edu\/information-technology\/faculty-related-applications\/citrix-faculty\"> Citrix<\/a>. Alternatively, before you leave campus, copy any files that you need to your Google Drive.<br \/>\n<strong>Please Note:<\/strong> Any files that contain sensitive information (PII or FERPA) should not be copied to your Google Drive.<\/p>\n<h2>Accessing Applications Remotely<\/h2>\n<p>You can access many applications remotely through your web browser, just as you would from on campus. You can access<a href=\"https:\/\/montclair.instructure.com\/login\/ldap\"> Canvas<\/a>,<a href=\"https:\/\/auth.montclair.edu\/authenticationendpoint\/login.do?commonAuthCallerPath=%2Fsamlsso&amp;forceAuth=false&amp;passiveAuth=false&amp;tenantDomain=carbon.super&amp;sessionDataKey=bb90da26-0c11-4455-a433-80d7f5434310&amp;relyingParty=http%3A%2F%2Fwww.workday.com&amp;type=samlsso&amp;sp=Workday&amp;isSaaSApp=false&amp;authenticators=BasicAuthenticator:LOCAL\"> Workday<\/a>,<a href=\"http:\/\/www.montclair.edu\/nest\"> NEST<\/a> and the<a href=\"https:\/\/iams-amc.montclair.edu\/page-account-claiming\"> New NetID account management center<\/a> for changing passwords just as you would on campus. <a href=\"https:\/\/www.montclair.edu\/information-technology\/faculty-related-applications\/citrix-faculty\">Citrix<\/a> is needed if you need to remotely access to the below applications:<\/p>\n<ul>\n<li>Share Drive Access (O: and N: drives)<\/li>\n<li>Tableau<\/li>\n<li>Banner (including Document Management)<\/li>\n<li>Course Submission Database<\/li>\n<li>Program Assessment Database<\/li>\n<li>Voicemail Portal<\/li>\n<li>PeopleSoft<\/li>\n<li>Cognos<\/li>\n<li>Blackboard Transact (SDCL)<\/li>\n<li>Titanium (Health Services only)<\/li>\n<li>Contract Assistant (Procurement only)<\/li>\n<li>Tax Navigator (Accounts Payable only)<\/li>\n<li>Accounts Payable checks to network printers (Accounts Payable only)<\/li>\n<li>Galaxy<\/li>\n<li>NJFAMS (Financial Aid Office only)<\/li>\n<li>COD (Financial Aid Office only)<\/li>\n<li>CPS (Financial Aid Office only)<\/li>\n<\/ul>\n<p>Upon connecting to<a href=\"https:\/\/www.montclair.edu\/information-technology\/faculty-related-applications\/citrix-faculty\"> Citrix<\/a>, these can all be accessed remotely, as usual via the web browser.<\/p>\n<h2>Microsoft Office on Home Computers<\/h2>\n<p>All Montclair State University faculty, staff and students can download a free copy by signing up with your Montclair email account at<a href=\"https:\/\/www.microsoft.com\/en-us\/education\/products\/office\"> Microsoft Office 365 Education<\/a> web page.<\/p>\n<h2>Installing Software Remotely on my University Issued Laptop<\/h2>\n<p>For all computers imaged by IT or a local academic technology department, you can install approved software without administrative rights by going into the software center.<\/p>\n<p>Windows 10: Read<a href=\"https:\/\/www.montclair.edu\/information-technology\/wp-content\/uploads\/sites\/168\/2018\/08\/Navigating-in-Windows-10-2.pdf\"> Windows Navigation Document<\/a> for directions (pages 5 \u2013 8).<\/p>\n<p>Mac: Read Mac Self-Service Document (Document under revisement) for directions.<\/p>\n<h3>Installing Software not Listed on the Software Center<\/h3>\n<p>If the software is not listed and you have a license and download for the software, please contact the IT Service Desk or your College or School\u2019s technology team to help you install it remotely.<\/p>\n<h3>Installing Home Printers on my University-owned Laptop<\/h3>\n<p>We have preloaded a number of the most commonly used printers into the operating system. Please try to install the printer and if you have an issue, contact the IT Service Desk or your College or School\u2019s technology team.<\/p>\n<h3><b>Browser Updates on Non-MSU-Managed Workstation<\/b><\/h3>\n<p>We recommend only updating your browser from the vendor and not any 3rd party sites as these sites could prove to be a security risk. This will make your CallerID appear as \u201cNo Caller ID.\u201d<\/p>\n<p>Faculty and advisors can also use the Slack instant messaging application to send short communications to other Slack users. Montclair State has created a Slack \u201cWorkspace\u201d that can be used by faculty and advisors to communicate with coworkers as well as students.<a href=\"https:\/\/join.slack.com\/t\/montclairstate\/shared_invite\/zt-crm6dbif-gQ4feLWZ~irBJxpKsyrDhg\"> You can join the montclairstate.slack.com Workspace.<\/a><\/p>\n<h2>Security Tips<\/h2>\n<p>With the increased use of remote access during this emergency period, it is important to remain mindful of ways to minimize the risk to University and personal information.
