This upgrade will streamline processes and enhance how we connect.<\/p>\n<p>Before using Zoom Phone, you must first know how to do <a href=\"https:\/\/www.montclair.edu\/information-technology\/video-conferencing-at-msu\/\">video conferencing on Zoom<\/a>.<\/p>\n<h2>What is Zoom Phone?<\/h2>\n<p><img decoding=\"async\" src=\"http:\/\/www.montclair.edu\/information-technology\/wp-content\/uploads\/sites\/168\/2025\/10\/zoom-phone.jpg\" alt=\"zoom phone logo\" \/><\/p>\n<h3>Introducing Zoom Phone<\/h3>\n<p>Zoom Phone is the university\u2019s new cloud-based calling system, built directly into the Zoom platform. It enables you to place and receive calls from your computer, mobile device, or\u2014when necessary\u2014supported desk phones. Regardless of the device you use, your university phone number remains with you.<\/p>\n<h3 id=\"schedule\">Transition from Legacy Services<\/h3>\n<p>The university is moving away from older phone systems and consolidating communication on Zoom. This means desk phones, virtual phones, and conferencing will all be delivered through Zoom. It reduces reliance on physical desk phones, simplifies communication across the university, and supports modern work styles\u2014from the office, from home, or on the go. By shifting to a virtual-first approach, the university avoids the ongoing costs and waste associated with replacing aging phone hardware.<\/p>\n<h3>Use of Desk Phones<\/h3>\n<p>The new standard is a virtual phone accessible through your computer or mobile device. Each Montclair State University Zoom Phone user may request one standard USB headset at no charge. <strong>Free headset requests end after April 30, 2026<\/strong>. After this date, new or replacement headsets will be funded by the department requiring a replacement.<\/p>\n<div class=\"prpl-step-group\"><div class=\"prpl-step\"><div class=\"prpl-step-number\"><span class=\"label-part\">Step<\/span> <span class=\"number-part\">1<\/span><\/div>\n<div class=\"prpl-step-content\"><div class=\"prpl-drawer\"><div class=\"prpl-drawer-header\">Getting Started<\/div><div class=\"prpl-drawer-content\">\n<h2>Zoom Phone Setup<\/h2>\n<ul>\n<li><a href=\"#claim\">Claiming Your Account<\/a><\/li>\n<li><a href=\"#sign-in\">Sign in to the Zoom Web Portal<\/a><\/li>\n<li><a href=\"#setup\">Complete Your Initial Setup<\/a><\/li>\n<li><a href=\"#emergency\">Set Your Emergency Address<\/a><\/li>\n<li><a href=\"#permissions\">Turn on Location Permissions<\/a><\/li>\n<li><a href=\"#voicemail\">Record Your Voicemail Greeting<\/a><\/li>\n<li><a href=\"#hours\">Set Business, Closed, and Holiday Hours<\/a><\/li>\n<\/ul>\n<p>All Zoom Phone users must complete a brief setup process in the Zoom web portal. These steps ensure your calls, voicemail, and emergency information work correctly.<\/p>\n<h3 id=\"claim\">Claiming Your Account<\/h3>\n<p>If you have not yet claimed your Zoom account, please following these directions to <a rel=\"noopener\" href=\"http:\/\/www.montclair.edu\/information-technology\/wp-content\/uploads\/sites\/168\/2025\/11\/Signing-into-Zoom-with-SSO.pdf\" target=\"_blank\">sign in with SSO<\/a>. <strong>You may skip this section if you have already claimed your account<\/strong>.<\/p>\n<h3 id=\"sign-in\">Sign in to the Zoom Web Portal<\/h3>\n<ol>\n<li>Go to the university Zoom portal, <a rel=\"noopener\" href=\"http:\/\/montclair.zoom.us\" target=\"_blank\">montclair.zoom.us<\/a>, and choose Sign In.<\/li>\n<li>Open the Phone section in the left navigation menu.<\/li>\n<\/ol>\n<h3 id=\"setup\"><strong>Complete Your Initial Setup<\/strong><\/h3>\n<p>When you first open the Phone settings, you\u2019ll be asked to:<\/p>\n<ul>\n<li>Choose your country \u2013 sets how numbers are dialed.<\/li>\n<li>Select your time zone \u2013 used for business hours, closed hours, and holiday hours. You can update this later in your profile if needed.<\/li>\n<\/ul>\n<p>Create a voicemail PIN \u2013 required if you ever check voicemail from a physical desk phone or a non-Zoom service (like dialing in from a mobile carrier). The PIN is not needed for voicemail in the Zoom app or portal.<\/p>\n<p><strong>Click Save\/Setup to confirm.<\/strong><\/p>\n<h3 id=\"emergency\"><strong>Set Your Emergency Address<\/strong><\/h3>\n<p>For your safety, and proper identification to emergency services, you must provide an emergency 911 location:<\/p>\n<ol>\n<li>In the Phone settings, find the Emergency Address section.<\/li>\n<li>Add the physical location where you usually work (office, home office, etc.).<\/li>\n<li><strong>Save your entry.<\/strong> You can add multiple addresses if you work in different locations.<\/li>\n<li>Return to the settings page and select the address you just entered as your default.<\/li>\n<li>This step ensures that if you dial 911, responders see the correct location.<\/li>\n<\/ol>\n<h3 id=\"permissions\">Turn on Location Permissions<\/h3>\n<p>Zoom Phone can update your location automatically if you allow it.<\/p>\n<p><strong>On Desktop:<\/strong> Open the Zoom app \u2192 Profile icon \u2192 Settings \u2192 Phone \u2192 check the box to allow enhanced location access.<\/p>\n<p><strong>On Mobile:<\/strong> Open Zoom app \u2192 More \u2192 Phone \u2192 Location Permission \u2192 Open Settings \u2192 choose <strong>While Using the App<\/strong> or <strong>Ask Next Time<\/strong>.<\/p>\n<h3 id=\"voicemail\">Record Your Voicemail Greeting<\/h3>\n<p>In the Phone settings, navigate to Call Handling \u2192 Voicemail Greeting.<\/p>\n<p>Choose one of three options:<\/p>\n<ul>\n<li>Text-to-Speech: type a message, and Zoom will generate the corresponding audio.<\/li>\n<li>Record by Computer: record your greeting directly in the portal (requires a microphone and browser permission).<\/li>\n<li>Upload Audio File: use a pre-recorded .mp3 or .wav file (under 10MB).<\/li>\n<\/ul>\n<p><strong>Save your greeting<\/strong> and select it as your active greeting.<\/p>\n<h3 id=\"hours\"><strong>Set Business, Closed, and Holiday Hours<\/strong><\/h3>\n<p>By default, Zoom Phone rings 24\/7. You can define your own schedule:<\/p>\n<ul>\n<li>In Call Handling \u2192 Business Hours, edit the days and times you\u2019re available.<\/li>\n<li>Calls outside of business hours will go to voicemail by default; however, you can change this setting. Under Closed Hours, select what happens after hours (e.g., voicemail, forwarding, etc.). After hours, calls may go to voicemail or be directed to another number. Approximately 90% of physical desk phones will be eliminated to promote sustainability, efficiency, and modern communication practices. This policy applies to all faculty, staff, and authorized users. Exceptions apply to designated emergency, public, and reception environments.<\/span><\/p>\n<h3>Softphone First<\/h3>\n<p><span style=\"font-weight: 400\">The Zoom Phone softphone application (desktop or mobile) is the default device for communication. Physical desk phones will be phased out unless an exception is approved based on documented business need.<\/span><\/p>\n<h3>Eligibility &amp; Exceptions<\/h3>\n<p><span style=\"font-weight: 400\">Physical desk phones will only be provided in the following cases:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Emergency or backup communication is critical (e.g., 911 accuracy).<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">The location lacks reliable network or phone infrastructure (e.g., lobbies).<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">The job role requires constant phone availability (e.g., reception desks).<\/span><span style=\"font-weight: 400\"><br \/>\n<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400\">All exceptions require departmental justification and approval by IT leadership and the relevant department head.<\/span><\/p>\n<h3>Transition Process<\/h3>\n<p><span style=\"font-weight: 400\">Departments will be consulted ahead of their transition. Users will be informed at least 2 weeks in advance. All ineligible desk phones must be disconnected, returned, or recycled in accordance with IT guidelines. Recycling and repurposing processes will follow sustainability standards.<\/span><span style=\"font-weight: 400\"><br \/>\n<\/span><\/p>\n<h3>Compliance &amp; Emergency Readiness<\/h3>\n<p><span style=\"font-weight: 400\">Users are required to configure their Emergency Location within Zoom Phone to ensure accurate routing of 911 calls. Training will be provided on how to initiate emergency calls using Zoom Phone, and fallback procedures will be documented in the event of network failure.<\/span><\/p>\n<h3>Support &amp; Training<\/h3>\n<p><span style=\"font-weight: 400\">IT will provide user support through documentation. Frequently asked questions and guidelines on voicemail, SMS, privacy, and security compliance will be available to all users.<\/span><span style=\"font-weight: 400\"><br \/>\n<\/span><\/p>\n<h3>Review &amp; Governance<\/h3>\n<p><span style=\"font-weight: 400\">This policy will be reviewed annually by IT leadership and the Unified Communications team.
