Privacy Notice For Division Of Finance & Treasury

The Montclair State University Division of Finance & Treasury (“Finance & Treasury”) is committed to safeguarding the privacy of data provided by our students, customers and vendors. This Privacy Notice describes the collection, use, and disclosure of information about you that are provided to Finance & Treasury. When you submit information to Finance & Treasury, or use the University’s websites and other services, you consent to the University’s collection, use, and disclosure of that information as described in this Privacy Notice.

Use Of Information

Finance & Treasury collects personal data from the University’s students, customers and vendors that include name, address, phone numbers, tax ID numbers, and bank account information (“Information”).  The Information provided to Finance & Treasury by students is necessary to administer a student’s account and ensure their academic progress.  The Information provided to Finance & Treasury by customers and vendors is necessary to enter into and perform a contract with the University, and the failure to provide Information may result in the inability by the University to enter into or perform a contract with a customer or vendor.   Finance & Treasury will also use the Information provided to it by students, customers and vendors to administer receipts and payments. In addition, Finance & Treasury may use Information to analyze and improve its cash transaction process, and for regulatory reporting and auditing. Finance & Treasury may also use Information to conduct general demographic and statistical research. Finance & Treasury also use and share Information internally with other University offices and units as necessary to administer and manage a contract or student account, to provide support services to students, and to assist with collection of amounts that are past due.

Online Payments

Finance & Treasury collects banking and credit card information in connection with on-line enrollment and payments to the University.   Reputable third-party merchant processors, financial institutions and software vendors handle our credit card transactions pursuant to written agreements with the University that require them to maintain the confidentiality of these records and safeguard them from unauthorized disclosure.

Whenever credit card or banking information is transmitted through our website, the numbers and letters are de-identified using encryption technology to protect the information from being stolen, intercepted or other unauthorized access. To protect your security, we do not save credit card information.

Third Parties

We disclose Information to third parties as follows:

Consent. We may disclose your Information to third parties if we have your consent to do so.

Service Providers. We use third parties who have a contract with the University to provide services to support our financial operations. In such cases, we may share your Information with such third parties on the condition that the Information be used and disclosed in accordance with the purposes of the agreement with the University, and safeguarded from unauthorized disclosure.

Counselors and Administrators. We use your Information and share it with your our counselors and administrators in connection with the administration of the University and your account.

Required by Law. We will share your Information with third parties to the extent we are required to do so by law, court order, or subpoena.

De-Identified and Aggregate Information. We use and disclose Information about our students, contractors and payees in de-identified or aggregate form without limitation.

Security

You must have a secure browser—one that supports secure transmission of data across the Internet—to remit/receive payment to/from the University. For more information about your browser’s security features, use your browser’s help feature.

We seek to implement appropriate technical and organizational security measures to protect your Information when you transmit it to us and when we store it on our information technology systems. Unfortunately, no data transmission or storage can be guaranteed to be 100% secure. When you send us credit card information over the Internet, we use industry standard SSL (secure socket layer) encryption. Your password is protected so that only you can access it and view the information that you provide to us through the online applicants’ site.  We strongly advise you not to share your password with anyone.

Retention And Destruction Of Your Information

Your Information will be retained by Finance & Treasury in accordance with the applicable retention periods in the Record Retention Schedule adopted by the State of New Jersey, Department of the Treasury, Division of Revenue and Enterprise Services – Record Management Services that is applicable to 4 Year Colleges and Universities. Your Information will be destroyed upon your request or after the expiration of the applicable retention period, whichever is later.  The manner of destruction shall be appropriate to preserve and ensure the confidentiality of your Information given the level of sensitivity, value and criticality to the University.

Your Rights

You have the right to request access to, a copy of, rectification, restriction in the use of, or erasure of your Information. The erasures of your Information shall be subject to the Record Retention Schedule adopted by the State of New Jersey, Department of the Treasury, Division of Revenue and Enterprise Services – Record Management Services that is applicable to 4 Year Colleges and Universities. Information created in the European Union will be transferred out of the European Union to the University.  If you feel the University has not complied with applicable foreign laws regulating such information, you have the right to file a complaint with the appropriate supervisory authority in the European Union.

We may update or change this policy at any time. Your continued use of this site after any such change indicates your acceptance of such changes.
