Update: AV Special Event Staffing and Usage Expectations

The Division of Information Technology provides AV Special Events support to ensure campus events have reliable, professional technical assistance. Currently, AV staffing for University-sponsored events continues to be centrally funded, meaning departments are not billed for special AV event support.
However, to ensure equitable use of this limited resource, we are reinforcing the following expectations:
- Requests must be submitted 7–10 business days in advance.
- If AV staff are assigned to your event, they must be utilized.
- A dress rehearsal is strongly encouraged and may be required, depending on the complexity of the event.
Please note that charges will apply if:
- The event is canceled with less than 48 hours’ notice
- The event host/group does not show up, or
- Assigned AV staff are not used during the event
These measures help us support as many campus events as possible while managing resources effectively.
