Orientation and Enrollment
You will receive a letter of appointment and date for your Benefits Orientation and Enrollment session. This is generally on your first day of employment, this meeting will give you a comprehensive overview of available benefits, including health plan, insurance and pension materials. You will also be able to complete all required paperwork for payroll and health plan, insurance and pension plan enrollment.
The processing of I-9 Forms, required by federal law to verify the identity and employment eligibility of all persons hired to work in the United States, must be completed in-person by staff in Human Resources located at the Overlook Corporate Center located at 150 Clove Road, 3rd Fl., Little Falls, NJ for all new hires, including full-time, part-time, and temporary employees, adjunct faculty, and student workers.
When directing a new hire to Human Resources to complete an I-9 Form please note that: anyone who is neither a US citizen nor a permanent resident (Green Card holder) must first go to Aditi Patel in the Global Education Center (22 Normal Avenue) prior to going to Human Resources. Please provide the employee with a copy of the I-9 List of Acceptable Documents so that they may select which documents to present to Human Resources to complete their I-9.
New Hire Package
You will receive a New Hire Package at your Benefits Orientation and Enrollment session that contains forms and information about employment and benefits at Montclair State.
University ID Cards
All employees are required to have a University identification card, which is used to gain admission to on-campus or community sponsored events, withdrawal of books from the library, access to University buildings after official closing hours and other purposes.
ID cards are available from the ID Card Office, located in the Student Center near the computer lab. Be sure to bring your official offer letter or signed verification of employment letter from HR to obtain your card. Lost or damaged cards will be replaced for a fee. You must return the ID card to our offices when employment is terminated.
Email accounts for new employees are activated approximately 24 hours after your appointment is entered into the HRS system in the Division of Human Resources. The Office of Information Technology (OIT) will issue your username and grant access once your employment is verified.
All vehicles must be registered with Parking Services. Registration can be completed online when an employee obtains their permit. Through Parking's online system, an employee can obtain a permit, appeal citations, pay citations, and review their account. Current rates and prices are available at the Parking Services website.
Keys are distributed by the Physical Plant Department after receiving a request form from your department head. While there is no charge for the first key issued, all other keys, including replacement keys, will costs $3 each, with a limit of three keys per lock. Special arrangements must be made if more than three keys are needed. Keys must be returned to the Physical Plant Department upon termination of employment.
Employees may gain entrance to locked buildings on weekends, evenings, during winter and state holiday closures by reporting to the University Police dispatcher in accordance with negotiated procedures for faculty and staff. At times when the University is officially closed, faculty and staff access is limited. Academic buildings are not open for use by students unless a faculty member is present in the building.
Reference Checking and Degree Verification
References are checked for all employees and highest degree status is verified in cases when a degree is a job requirement.
Falsification of Application
Information that is falsely reported as part of the employment application may be a cause for withdrawal of an offer of employment and/or cause for termination of employment.
